1. Who is responsible for your information?
Alexandru Tutu, trading as Executive Private Hire, is responsible for personal information used to handle enquiries and provide this service. Contact: alex@executiveprivatehire.com, +44 7472 610453, or 1a Long Brackland, Bury St Edmunds, IP33 1UH.
2. Information we use
We use the details you give us when enquiring or booking: your name and contact details; pickup, destination, dates and times; flight or sailing information; passenger and luggage requirements; and communications about the job. Job records may also include the agreed price, invoice details and payment status. We do not retain card numbers, security codes or other payment credentials.
If you book for someone else, we may receive their name, contact details and travel arrangements from you, your employer or another authorised booker. Please share this notice with them. Do not include passport numbers, payment details, confidential document contents or unnecessary health information in the enquiry form.
3. What the website form does
The form prepares a WhatsApp message in your browser. It does not submit a booking or send your details to our server. When you choose the generated link, its message text is passed to WhatsApp so you can review it and decide whether to send. Do not open the link unless you want WhatsApp to receive that text. You can also contact us by telephone or email.
4. Why we use information and our lawful bases
- Enquiries and bookings: to provide a quote, agree arrangements and deliver the service. We rely on taking steps at your request before entering a contract and performing that contract.
- Bookings made for others: to arrange the passenger’s journey and communicate essential details. Our legitimate interests are delivering the requested service and coordinating the booking with the authorised booker.
- Job records, accounts and compliance: to maintain the records required by applicable tax, accounting and private-hire obligations. We rely on legal obligations where they apply.
- Support, disputes and security: to respond to complaints, resolve payment or service queries, prevent misuse and protect the website. Our legitimate interests are running and safeguarding the business and handling claims fairly.
This website does not offer a marketing subscription or make automated booking decisions. If a future use requires consent, we will ask separately. You can withdraw consent for that use at any time without affecting earlier lawful processing.
5. Who information may be shared with
Only information needed for a purpose is shared. Recipients may include a driver or subcontractor involved in an agreed booking; hosting, email, IT and communications providers; the payment provider handling a card transaction; professional advisers; and authorities where disclosure is required by law. We do not sell personal information.
Card transactions are handled through the payment provider used for your booking. We do not collect payment credentials through this website. WhatsApp and other external services handle information under their own privacy notices; see WhatsApp’s privacy policy.
6. International processing
External communications, hosting and payment providers may process information outside the UK. Where we arrange a restricted transfer, we must use an applicable adequacy decision or appropriate contractual safeguards and any required assessment. Contact us for details of providers and safeguards relevant to your booking. WhatsApp’s own notice explains its international processing.
7. How long records are kept
Booking and job records are kept for up to six years after the job is completed or cancelled, where needed for accounting, legal obligations or handling claims. Enquiries that do not become bookings are kept only while needed to answer the enquiry and deal with follow-up, then deleted or anonymised. Records relating to an unresolved dispute or a specific legal requirement may need to be retained longer for that purpose. We do not retain payment credentials.
8. Cookies, hosting and website security
This website’s own code sets no cookies, uses no local storage and includes no analytics, advertising trackers, embedded maps or social widgets. Images, styles and scripts are served with the site. The hosting provider may process technical request information, such as IP addresses, requested pages, timestamps and browser details, to deliver and secure the website. Any hosting-layer cookies must be assessed before deployment and this notice updated if necessary.
Once you follow a link to another service, that service may use its own cookies or tracking technologies. We use appropriate access controls and security measures for the information we handle, but no internet service can guarantee absolute security.
9. Your data protection rights
Depending on the circumstances and the lawful basis used, you may request access to your information, correction, erasure, restriction, or a portable copy. You may object to processing based on legitimate interests and withdraw consent where processing relies on it. These rights are subject to legal conditions; for example, some accounting records must be retained.
Contact alex@executiveprivatehire.com to exercise a right. We normally respond within one month; if an extension is permitted, we will explain it. We may need proportionate information to verify your identity.
10. Questions, complaints and changes
Please contact Alexandru first if you have a privacy concern. You may also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113. You do not have to contact us before approaching the ICO.
We will update this notice if our practices change. The date above identifies this version. For service arrangements, please read our terms and conditions.
